Scope and Applicability
This Policy applies when you access or use our Services, including our websites and our mobile applications such as Fleet Trip Monitor (com.sdcm.groundcontrol). Where we process data on behalf of a businessclient (“Customer”), that Customer determines the purposes of the processing and their own privacy notice may also apply. This Policy continues to describe the categories of data our Services access, collect, and share.
Information We Collect
1. Information You Provide
- Account Information: Name, email, password, profile details, and professional information.
- Payment Information: Billing details processed securely via third-party payment providers. We may store limited details such as card type and last four digits.
- Content: Any files, data, or inputs you upload or share through the Services.
- Communications: Information shared when you contact us, subscribe to updates, or participate in events.
- Business Information: Contact details and job-related information if you interact with us as a business representative.
2. Information Collected Automatically

4. Location Information (Mobile Applications)
Our mobile applications, including Fleet Trip Monitor (com.sdcm.groundcontrol), access and collect device location data.
What we collect: precise location (GPS latitude and longitude), approximate (network-based) location, speed, heading, and the timestamp of each reading.
How we access it: through your device’s location services, only after you grant location permission to the app. You can revoke this permission at any time in your device settings.
When we collect it: while a trip or duty session is active. The app also collects location in the background, when the app is closed or not in use, so that trip routes and vehicle movement are recorded continuously for the duration of an active trip. Background collection stops when the trip or session ends.
Why we collect it: to record and display trip routes and history, monitor vehicle and fleet movement, calculate distance travelled and estimated arrival times, verify trip start and completion, generate operational and compliance reports, and support driver safety and vehicle recovery.
We do not sell location data, and we do not use or share it for advertising or marketing purposes.
5. Device Permissions We Request
– Location (precise and approximate) — to record trip routes and vehicle movement
– Background location — to continue recording an active trip when the app is not in the foreground
– Foreground service — to keep trip recording running reliably and to show an ongoing notification while a trip is active
Each permission is requested with an explanation before it is used, and can be declined or revoked in device settings. Declining location permission will prevent trip recording from functioning.
How We Use Your Information
We use your information to:
- Provide, operate, and improve our Services
- Communicate with you (including updates, support, and marketing)
- Process transactions and send billing information
- Enhance security and prevent fraud
- Conduct analytics, research, and internal reporting
- Comply with legal obligations
- Support business operations such as mergers or restructuring
- Record, display, and report trip routes, distance, and vehicle movement using location data collected by our mobile applications
- Make trip and location records available to the fleet operator or employer who authorised your use of the application

We may share your Personal Information with:

- Customers, when data is processed on their behalf

- Fleet operators and employers, who receive location and trip data collected through Fleet Trip Monitor for the drivers and vehicles they manage
We do not control how third parties handle your data once shared under their policies.

- Location and trip records are retained for the period required by the fleet operator’s operational, contractual, and legal obligations, after which they are deleted or anonymised
